Must I already have incorporated to open a Virtual Office ?
No. You can open your Virtual Office even if you have just a project of creating a company some day. The Virtual Office will give you free Collaborative Project Management, without time limitation. In addition you can play with Company Management tools of the Virtual Office, and decide if you want to subscribe or not.
How is my data backuped ?
Data is backuped daily.
After backup, data is kept on the following schedule :
- Daily data for day D-15 to day D
- Data of first day of current month (M)
- Data of first day of previous month (M-1)
- Data of first day of month before (M-2)
In case of specific request for data restauration, we bill €79 HT
Can I export my data ?
Your data can be exported anytime from your Virtual Office, your receive them for free via email or download.
Can I access my data through an API ?
An API allow interaction with other applications. Refer to our developer documentation.
Can I count on confidentiality and safety of my data ?
We take the greatest care into insuring confidentiality and security of your data.
Our software runs on dedicated servers, run by professional with confidentiality
and security top-of-mind. Your connection to the application is securized in
state-of-the art SSL : all data exchange are encrypted and confidential,
certified by Thawte.
Servers are of course running on protected power lines, in physically
securized data centers.
Data is backuped every night so that in case of a major failure data of previous day
can be restored.
Access to your account is protected by a password, which we
strongly urge you to keep confidential and to change frequently.
What are the hardware and software requirements to use the Virtual Office ?
The Virtual Office is a service accessed by internet, and hosted on our servers. So your only need is a computer connected to the internet, with a web browser with Javascript activated (Firefox or Internet Explorer for PC, Mac ou Linux). There is no software to install, no heavy IT investment on your side, no data lost in case of crash, loss, or theft of a computer.
What kind of internet connection is required ?
Any kind of internet connection will work. An ADSL connection is recommended for better service.
Should my computer have a specific configuration ?
To access your Virtual Office, no specific application is needed besides a standard web browser. The Virtual Office is accessed through any computer connected to the internet. there is no maintenance cost nor contract, software updates are done by us on our servers and are free. There is no installation fee.
Is there any maintenance cost ?
There is no maintenance cost, never. Every software update is made by us, on our servers, for free.
Shall I do updates to the software ?
There will be no software update to do as this is an online service, not a traditional downloaded software. The software updates are done by our technical teams, on our server, and are available for you at your next login. Each time we add a new functionality to the application, you can use it on your next login, for free.
Who is the Virtual Office for ?
The Virtual Office is targeted at contractors, entrepreneurs, freelancers, in present or future activity, and who are looking for a simple and effective way to organize their daily work.
The Virtual Office fits perfectly the needs of small companies of less than 10 people, to help them start fast and then grow their activity.
Why doesn't Virtual Office do accounting ?
The Virtual Office is designed to help entrepreneurs concentrate on their core business, and on the development of their activity instead of administrative tasks. We believe accounting of a company should be done by the CPA, not by the entrepreneur. This is the reason why the Virtual Office is not an accounting application, and why it allows many ways to interact with the CPA.
So, by entering on your Virtual Office data such as expenses, invoices, timesheets, payroll, and by inviting your CPA on your Virtual Office, you allow him to export all the data he needs to build your general ledger. This way, there is no double-entry of data. You obtain certified accounting data provided by your CPA, and you also get real-time reports as you need them, anytime, anywhere.
What is the pricing of subscriptions ?
The Virtual Office has three plans : basic, plus and unlimited.
You can check plan details on our pricing section.
Our plans are without commitments, you can stop your subscription anytime. Your subscription will remain active until the last day of the month, and will stop.
If you choose monthly payment, payment is called in beginning of month.
The number of users you can invite to a Virtual Office is not limited, and is free.
Do you offer rebates ?
Or prepaid offers will allow you to make substantial economies on your subscription :
- 5% on a subscription with 6 month prepaid
- 15% for 12 month prepaid
- 35% for 24 month prepaid
In addition, with prepaid, we deliver only one bill for all prepaid monthes. If you stopped your subscription, you wouldn't be reimbursed of the prepaid monthes, and the subscription would stop at the first unpaid month.
Where can I find bills for my subscription ?
Your bills are in your Virtual Office, in the "Setup/Your bills" menu.
In this section, you'll find bills for all the purchases you made on your Virtual Office (Subscriptions, and others)
What about the subscription process ?
To subscribe, go to "Your Account" menu and chose your plan. After entering your credit card number on the securized bank form, your subscription is activated. You can immediately start to use all functions of your Virtual Office, with of course the data you already entered.
What means of payment do you accept ?
We accept only credit card payments. All payements are made through a securized bank service. If you want your subscription to be automatically debited every month, you should click a checkbox. In any case, we don't keep credit card numbers, it's the job of the bank intermediary.
I entered test data on the Virtual Office. Can I delete it all ?
The simplest is to go to "Your Account", and create a new Virtual Office. It will be empty, and you can take your subscription on this one.
From where can I access my data ?
You can access your Virtual Office and your data from any computer with a standard web browser and an internet connection. Whether you are at home, on the move, in a foreign country, in the office of a customer or partner... you can track the activity of your company or add new data.
Can my mobile workforce access information on the Virtual Office ?
You choose who access data on your Virtual Office. As soon as you have invited somebody to your Virtual Office, the person has access to the information visible with the Authorization Profile you selected.
Can I control users's access rights ?
You can share access to your data in totality or partially. When you invite a new user to your Virtual Office, you select his Authorization Profile, and based on this profile, he can see part of the information.
There are four Authorization Profiles on the Virtual Office : Manager, Employee, CPA, and Consultant.
You can also create Workgroups to share pieces of information with vendors or customers : workgroups are securized data wharehouses accessed only by the few people you invite.
Is there a maximum number of users per Virtual Office ?
No. You can invite any number of guests to join your Virtual Office.
There is no additional cost when you invite more guests.
You can at any time grant or remove access to users.
Can my CPA easily access data ?
The Virtual Office is designed to increase and ease data exchange between you and your CPA. Invite your CPA to join your Virtual Office with "CPA" Authorization Profile. He'll be able to connect to your Virtual Office, get data he wants by browsing the pages or by making data exports to avoid entering information twice in his accounting software.
Your CPA can leave some comments on some data of your Virtual Office, that you will receive by email and can answer directly on the Virtual Office.
There is no additional cost associated with having your CPA on your Virtual Office. Your CPA is considered as a new guest of your Virtual Office, with "CPA" Authorization Profile.
Can my Virtual Office be branded to my company design ?
Yes, you can add your logo, and the colors of your company.
Can I try your services for free ?
Yes, just open a free account, you can access Collaborative Project Management for free, and test Company Management tools. Once you played too much, you can choose to pay, or keep with the free version.
Why a Tutor ?
The Virtual Office has been designed by entrepreneurs for entrepreneurs. This is why we decided to offer to every paying customer the presence of a Tutor on his Virtual Office. The Tutor will help you to gain distance from the daily tasks the entrepreneur faces. The Tutor is himself an entrepreneur with experience, who can give you feedback on moves you make, be it in term of strategy, of time management, of sales, etc. The Tutor has no access to your Virtual Office nor to your data. He's not to be questionned as an expert, but as a goodwilling presence.
How can I interact with my Tutor ?
You must have an active paying subscription to access your Tutor. When this is the case, at any time you can go to the "Tutor" tab on your Virtual Office. You ask him a question, and when he has answered, you receive a notification email. You can access your interactions with the Tutor at any time, and the history of your discussions is kept.
Who is my Tutor ?
Tutors are men or women we select with more than seven years of experience, having created one or several companies. Tutors are selected for their sense of listening, of analysis, and their ability to give some of their time. They are by your side to help you succeed. Tutors commit to confidentiality on all informations shared.
Can I print my invoices or proposals in trial mode ?
Yes. When you are in trial mode you can print invoices or proposals to visualize the result.
How can I print my invoices or proposals without having the URL in the bottom on the printed page ?
Your web browser usually adds some URL information when printint a web page.
To remove this, you need to change the settings of your browser.
- On FireFox : go to "File", then "Page Setup", and in "Margins, header and footer"
select "Empty" for header and footer elements.
- On Internet Explorer 7 : click on the right of the printer icon and select the "Page Setup"
menu. Then remove the header and footer settings.
You can also prefer instead to generate PDF documents with your invoices and proposals,
which can be printed directly without header or footer line.
